# Software and licences

> The software discovery found installed, the entitlements your organisation bought, the licence position that compares the two, and the allow and block list.

The **Software** screen answers one question — are we covered? — by comparing the software
[discovery](/assets/discovery) finds installed with the licences your organisation says it bought.
Open it from **Assets → Software**.

<Note>If you don't see this in your navigation, your administrator can switch the module on under **Administration → Modules**, or it may not be included in your plan. It is part of **IT asset discovery** there.</Note>

Only agents and device-management connectors report installed software; a network sweep does not.
Each name a scan reports is matched to a **product** and **publisher** in the catalogue, so that
"Microsoft 365 Apps for enterprise - en-us" and "Microsoft 365 Apps" count as one thing.

## The header

## Licence position

Each product that needs a licence, counted over the devices you can see.

| **Position** | **compliant**, **short** (fewer licences than covered installs need), **unlicensed** (installed with no entitlement), **more people than licences** (a per-user licence assigned to more people than it allows) or **not measured** (concurrent seats) |

| **Not covered** | Installs no entitlement covers |
| **Owned** | What has been bought — per device, per user, concurrent, or **unlimited** for a site or organisation agreement |
| **Unused** | Licences bought and not in use |

An install is covered by a site or organisation agreement, by a per-user licence assigned to the
device's custodian, or by a device licence until they run out. Concurrent seats are recorded but
nothing measures how many are in use at once.

**Installed, not entitled** lists the devices behind any shortfall: **Product**, **Device**,
**Custodian** (or *nobody*), **Site** and **Since** when it was first seen. A device whose custodian
is not assigned a per-user licence shows here even if licences are spare — assign the person on the
entitlement.

## Entitlements

What the organisation says it bought, with the certificate behind it.

### Declaring an entitlement

**Declare an entitlement** asks for what was bought, as the certificate says it.

Enter the number the certificate states. A purchase order is kept for the audit trail but never sets the number of licences.

### One entitlement

Open a row to see it. **Edit** changes it and **Withdraw** takes it out of the position.

* **Certificate and evidence** holds the licence certificate, order confirmation or reseller's letter
  — what an auditor will ask to see.
* For a per-user licence, **Who it is for** lists the people assigned (*n of m*). **Add people…** and
  **Assign** add them; each row shows whether it is **installed** on their devices. **Take off**
  removes a person. An install is covered only on a device whose custodian is assigned.

## Catalogue

**Products** is the organisation's catalogue and its allow and deny list.

| **Block** | Asks **Why** (required) and blocks it. Every device with it installed raises an exception for its custodian within the hour, showing the reason. An [automation rule](/config/rules) on software being installed can also raise a work request |

| **Merge…** | Merges it into another product: its names and entitlements move, the target's policy stands, and the merged product is kept pointing at it |

Allowing and blocking needs permission to allow and block software products. Editing and merging
needs permission to map, merge and edit software publishers and products.

**Publishers** lists each **Publisher** with its **Products** and **Devices**. **Merge…** moves its
products under another publisher; a product it already has by the same name becomes that product.

## Names to review

Names exactly as the scans spelled them, which the starter catalogue did not recognise. Say what each
one is, and every device that reports it is counted correctly from then on. A licence position
computed over names nobody mapped is confidently wrong, so this list is what keeps the other tabs
honest.

With names ticked, **The … chosen are** lets you pick the product (or publisher) they are, then
**Map**. **Not tracked** marks them as something you do not track, like a driver. You can tick software
names or publisher names, not both at once. **New product…** on a software row creates a product from
that name and maps it.
