# Numbering

> What this organisation calls its work orders, purchase orders, permits and everything else that gets a number.

Every work order, asset and the rest of what you raise or register gets a number from the database.
This is the one place you get to say what that number looks like, instead of living with whatever a
default happened to be.

## The format

A format is a short pattern of literal text and tokens:

| `{SEQ:n}` | The running count, padded to `n` digits |
| `{YYYY}` / `{YY}` | The year, in full or as two digits |
| `{MM}` | The month |
| `{SITE}` | The short code of the site the record belongs to |
| `{CATEGORY}` | The short code of the record's category |

Everything else in the format is typed as it appears. `WO-{YYYY}-{SEQ:5}` reads as `WO-2026-00027`;
the next number is what leads on the list, because that's the thing you actually recognise — the
format is the second column, for reference.

Not every series offers every token. A series with no category attached to it doesn't offer
`{CATEGORY}`, and the hint under the format box says exactly which tokens this one takes.

  Nothing is validated on this screen client-side. Every format is checked by the same function the
  database itself calls before minting a number, so a format this screen accepts is one the database
  has already agreed to honour.

## Counting

Choose how the sequence resets:

| Counting | Means |
| - | - |
| Counts on for ever | Never resets |
| Starts again each month | Resets to 1 at the start of each month |
| Starts again each year | Resets to 1 at the start of each year |

For a yearly reset, you can also say which month the year starts in — for an organisation whose
financial year doesn't start in January.

## Counting separately

A series can count separately per site, per category, or both at once — a legacy asset register
numbered `DEL-PMP-0001` is counting within both. Turn either on and each site (or category) keeps
its own independent sequence rather than sharing one count across the whole tenant.

## What a format change does — and doesn't

Changing a format doesn't renumber anything already in the register. The screen shows how much of
the register is already in the new shape, so a total that reads "0 of 12" right after a change is
expected, not broken — it climbs as new records are created under the new format.

## Records that keep their own number

Some series — the asset register among them — mint a number only where one was left blank. Most
assets carry a number of their own: typed in, or brought in by [Import](/config/import) carrying
whatever the plant already stamped on the nameplate. Reformatting that series changes what a
blank number becomes; it does nothing to the numbers already recorded against real assets.

## Starting over

**Reset series** puts the sequence back to where a fresh format would start it. **Set the next
number** lets you pin the next value directly — useful when you're switching systems and want this
one to continue counting where the old one left off.
