# Capex - Capitalization Planning

> One plan per approved capex proposal saying when its money becomes assets, lot by lot, into which asset block, and the depreciation each lot starts — planned in a dialog or from a spreadsheet, and approved in a workflow of its own.

Capex - Capitalization Planning is where finance plans when each approved capex proposal's money becomes assets: the budget and the cost to the company, the GST that comes back, and the lots it is capitalized in, each with the date it becomes an asset, the block it lands in and the depreciation it starts in the planned year and the four after it.

**Capitalization Planning** is under the **Capex** heading in the **Finance** group of the navigation, for people holding **View the Capex Planning – Capitalization Plan**. Changing a plan needs **Change an approved proposal's capitalization plan**.

> [!NOTE]
>
> If you don't see this in your navigation, your administrator can switch the module on under **Administration → Modules** (it is part of **Capex planning**), or it may not be included in your plan.

## How a plan gets here

Every [capex proposal](https://docs.assetinfinity.ai/finance/capex-planning.md#how-a-proposal-is-approved) gets a capitalization plan the moment the last level of its workflow approves it, at the same time as its row on [Consolidated Planning](https://docs.assetinfinity.ai/finance/capex-consolidated-planning.md). What the proposal decided is copied onto the plan and cannot be changed here.

The capitalization is then approved in a workflow of its own:

* Where a capitalization workflow applies, the plan goes to its first level by itself. The approver it is waiting on plans it here and approves it in [Approvals](https://docs.assetinfinity.ai/work/approvals.md).
* Where none applies, the plan waits here for finance to plan it and send it, with **Send for approval** in its **⋯** or **Save & Submit** on its form. Sent with no workflow to ask, it is approved at once and the screen says so.

Your administrator can switch **Send for approval** off for this screen in [Form Studio](https://docs.assetinfinity.ai/config/form-studio.md); it is on until they do. Off, a plan goes to its approvers only by itself when its proposal is approved, and a plan no workflow took stays open until the switch is turned on again.

Approving or rejecting a capitalization plan does not change the proposal's own status, which is its planning's to decide. A proposal whose capex plan is rejected on Consolidated Planning can no longer be capitalized.

## The list

The page is headed **Capex - Capitalization Planning**. **Search the capitalization plan**, saved **Views**, **Filter**, **Columns** and **Amounts shown in** work as on any register. **Export** downloads the rows the list is showing, at the scale the screen shows, and needs **Download a plan's proposals and phasing as a spreadsheet**. **Upload** is described [below](#updating-plans-from-a-spreadsheet).

| Column | What it shows |
| - | - |
| **Fiscal Calendar**, **Request ID** | The plan's fiscal calendar and the proposal's ID |
| **Proposal Status** | Where the capitalization stands — see below |
| **Approval Status** | The capitalization's own approval request, which opens it in Approvals for the approver it waits on, or **Approved** where it was approved with no workflow |
| **Unit and Location**, **Category**, **Sub-Category**, **Project Co-ordinator**, **Item Description**, **Item Type**, **Investment Type** | What the proposal decided |
| **Project Name** | The item description again, as the project's name |
| **Approval Month Year** | The month the capitalization is approved for, written MM/YYYY |
| **Reference ID** | The approved proposal a carry forward continues |
| **Budget (Including GST)**, **CTC (Including GST)**, **GST Credit**, **Total Capitalization Value** | The plan's figures |
| **Still to Capitalize** | What the lots have still to account for. Marked where the lots add up to something other than the total |
| **Capitalization Lines** | How many lots the plan has. Off until you turn it on in **Columns** |
| **Last Approved By**, **Last Approved Date** | The capitalization's latest approval |
| **Created By**, **Created Date** | Who added the proposal and when, not when the plan was made |
| **Modified By**, **Modified Date** | Who last changed the plan or one of its lots, and when; until then, whoever last approved the proposal |

Every date and time is written to the second on a 24-hour clock, on screen and in the export.

| Proposal Status | Meaning |
| - | - |
| **Approved for Capitalization Plan** | The plan exists and its capitalization is not decided yet |
| **Capitalization Plan Approved** | The last level approved it, or it was approved when sent with no workflow |
| **Capitalization Plan Rejected** | A level rejected it. The reason is shown under the status |
| **Capex Plan Rejected** | The proposal's planning was rejected on Consolidated Planning, so it will not be capitalized |

Clicking a row opens its plan to read, as **View Capitalization Plan**. The row's **⋯** offers **Edit** where the plan is yours to change — finance's while no approver holds it, and the approver's while it is waiting on them, until it is decided — and **Send for approval** on a plan no workflow has taken.

## Planning a proposal's capitalization

**Edit** opens **Edit Capitalization Plan**. What the proposal decided is greyed. Your administrator arranges the form in Form Studio under **Capex - Capitalization Planning**, which **Edit form** opens.

| Field | What it means | Notes |
| - | - | - |
| **Budget (Including GST)** | The budget for the proposal | Typed for fresh money, and starts the **CTC** off at the same figure. For a carry forward it is the proposal's approved carryover from the previous year and cannot be changed here |
| **CTC (Including GST)** | The cost to the company | |
| **GST Credit** | The GST that comes back | Cannot be more than the CTC |
| **Total Capitalization Value** | The CTC less the GST credit | Worked out |
| **Approval Month Year** | The month and year the capitalization is approved for | Typed as MM/YYYY, such as 04/2027; the slash is put in for you. Saved as the 1st of the month |

An amount can be at most 9,99,99,99,999.

### Capitalization lines

Under the figures, **Capitalization lines** lists the lots the proposal is capitalized in, one row each, scrolling sideways on its own. **Add line** adds one, clicking a row edits it, and its **⋯** offers **Edit** and **Delete** (**Do you want to delete this capitalization line?**). Under the lines, the screen says whether **The lines add up to the total capitalization value**.

| Field | What it means | Notes |
| - | - | - |
| **Line No.** | The lot's number on its plan | Given when the lot is added and never given to another lot of the plan, even after it is deleted, so a spreadsheet can name it |
| **Capitalization Date** | The day the lot becomes an asset | Where your administrator has ticked **Capitalization Date is the 1st of the month** in Form Studio, any day picked is saved as the 1st of its month. The depreciation is the same either way |
| **Capitalization Value** | What the lot is capitalized at | |
| **Asset Block** | The block it lands in: one of your organisation's [asset categories](https://docs.assetinfinity.ai/config/assets.md#asset-categories), with each one's rate shown beside it | |
| **TNC Assets Type** | A value of your organisation's list named **TNC Asset Type Master**, kept on the [Lists](https://docs.assetinfinity.ai/config/administered-lists.md) screen | Asked only for a block named **Plant and Machinery** or **Plant & Machinery** |
| **Asset Block Value** | What the lot is depreciated on | Follows the capitalization value until you type over it |
| **Applicable Depreciation Rate** | The block's rate | Not typed. The number in the custom field named **Depreciation %** on the category, or the nearest category above it that has one. Kept from when the lot was saved in its block, so a later change to the category does not restate an approved plan |
| **Shift Factor proposed** | How hard a Plant and Machinery lot is worked | Not typed. The number in the custom field named **Shift Factor** on the proposal's location, or 1; 1 for every other block. Kept as the rate is |
| **Months to be Considered for PY1** to **PY5** | The months of each year the lot is depreciated for | Worked out: 12 for a year it was capitalized before, 0 for a year it is capitalized after, and otherwise from the month of the capitalization date to the year's last month |
| **Depreciation Year 1** to **5** | The lot's depreciation in each year | Worked out: the block value times the rate, over twelve, times the year's months and the shift factor |
| **Depreciation PY1**: **MM1** to **MM12** and **Total** | The first year's depreciation month by month | Shared equally among the months from the month of capitalization to the twelfth. The total equals **Depreciation Year 1** |

Every worked-out figure is blank where the lot's block has no rate.

### Saving and sending

| Button | When | What it does |
| - | - | - |
| **Save as Draft** | The plan offers **Send for approval** | Saves the plan |
| **Save & Submit** | The same | Saves the plan and sends it. If the send is refused, what you typed is saved, the form stays open and says **Saved as a draft, but not submitted:** with the reason |
| **Save** | Otherwise | Saves the plan |

Before a plan can be sent or approved it needs the budget of a fresh-money proposal, the CTC, the GST credit, the **Approval Month Year**, at least one capitalization line, a depreciation rate for every line's asset block, and the lines adding up to the total capitalization value. A plan still missing any of them says **Before its capitalization can be approved it still needs:** and names them.

## Approving a capitalization plan

The approver a plan is waiting on opens it from **Approval Status**, or from [Approvals](https://docs.assetinfinity.ai/work/approvals.md). The approval dialog draws the plan's form, with **Save capitalization plan** to save what you changed, lines included. **Approve** waits until the plan is saved and has everything it still needs. Somebody reading a request they raised, or signing on another's behalf, sees the same form greyed.

## Updating plans from a spreadsheet

**Upload** opens **Update the capitalization plan from a spreadsheet**. It is offered to people who may change capitalization plans, and to an approver with a plan waiting on them.

| Step | What happens |
| - | - |
| **Download the template** | A **Capitalization plan template** with two sheets, holding the proposals the list is showing now that you may change, as they stand, and their lines. **Plans** has one row per proposal: **Request ID**, **Item Description**, **Unit and Location**, **Investment Type**, **Approval Month Year**, **Budget (Including GST)**, **CTC (Including GST)**, **GST Credit** and **Total Capitalization Value**. **Lines** has one row per line: **Request ID**, **Line No.**, **Capitalization Date**, **Capitalization Value**, **Asset Block**, **TNC Assets Type** and **Asset Block Value** |
| Fill it in | Each proposal is found by its **Request ID** and each line by its **Line No.**; a row on **Lines** with no Line No. adds a line. Plans, lines and columns the file does not mention are left as they are, and nothing is deleted. An asset block and a TNC asset type are matched by their code or name, and a date is best given as year-month-day. **Approval Month Year** is given as MM/YYYY |
| **Choose a file** | The file is read in your browser and checked at once. It lists under **To be updated, and what changes** what each plan would change, under **Would still not be ready for approval** what a plan would still need, and under **These will not be updated, and why** what cannot be |
| **Update** | A proposal is updated whole or not at all, with the same checks as its form, so a refused line takes its whole proposal back with it. A line identical to one the plan already has is refused rather than added twice. What it then reports is the write's own answer |

A sheet of more than two thousand rows is more than one upload: narrow the list, download the template for each part, and upload each. Columns your administrator has taken off the form for you are left out of the template and not read.
