The T\&C Appraisal Note Form is where a purchase for a manager — typically IT equipment — is appraised item by item before it is bought: who it is for, where they sit, what each item is and what it costs with GST. Each note is approved in a workflow of its own. **T\&C Appraisal Note Form** is under the **Capex** heading in the **Finance** group of the navigation, for people holding **View the T\&C Appraisal Note Form**. Adding, writing and sending a note needs **Add, write and send a T\&C appraisal note**. You see the notes for the units you can reach. > [!NOTE] > > If you don't see this in your navigation, your administrator can switch the module on under **Administration → Modules** (it is part of **Capex planning**), or it may not be included in your plan. ## The list **Add T\&C Appraisal Note** opens a new note. **Search the T\&C appraisal notes**, saved **Views**, **Filter**, **Columns** and **Amounts shown in** work as on any register, and **Export** (needs **Download a plan's proposals and phasing as a spreadsheet**) downloads the rows the list is showing. | Column | What it shows | | - | - | | **T\&C/No.** | The note's number | | **Note Status** | **Draft** while no approval request holds it, **In Approval** while one does, then **Approved** or **Rejected**, with the reason under a rejection | | **Approval Status** | The note's approval request, which opens it in Approvals | | **Category**, **BUSA**, **Item Type**, **Manager Name**, **Manager Location**, **EMP Code**, **Grade** | The note's header | | **Items** | How many items the note buys | | **Gross Value**, **GST**, **Net Value** | The items' totals | | **Last Approved By**, **Last Approved Date** | Who last approved a level of the note, and when | | **Created By**, **Created Date**, **Modified By**, **Modified Date** | Who added the note and when, and who last changed it and when | Every date and time is written to the second on a 24-hour clock. Clicking a row opens the note to read, as **View T\&C Appraisal Note**. The row's **⋯** offers **Edit** where you may change the note, and **Send for approval** where you may send it. ## Writing a note **Add T\&C Appraisal Note** and **Edit** open the note's form. Your administrator arranges it, and can insist on further answers, in [Form Studio](https://docs.assetinfinity.ai/config/form-studio.md), which **Edit form** opens. | Field | What it means | Notes | | - | - | - | | **Category** | Your organisation's own category for the purchase | Chosen from the list named **Category Master**, kept on the [Lists](https://docs.assetinfinity.ai/config/administered-lists.md) screen | | **BUSA** | The unit the purchase is for, and the place inside it where the note names one | Required to save. The note is read under this unit and its approval is filed there | | **Item Type** | **MIS** or **Non-MIS** | | | **T\&C/No.** | The note's number | Not typed. **Given when it is saved**, from the TC number series — `TC-0000001` unless your organisation set another format under [Numbering](https://docs.assetinfinity.ai/config/numbering.md) | | **Manager Name** | Who the purchase is for | Up to 100 characters | | **Manager Location** | Where they sit | Chosen from your organisation's list named **Manager Location**, on the Lists screen | | **EMP Code** | Their employee code | Up to 10 characters | | **Grade** | Their grade | Up to 100 characters | ### Item Details Under the header, **Item Details** lists what the note buys, one row per item. **Add item** adds a row and the bin on a row (**Remove item**) takes it off. Every box on a row must be filled in. | Column | What it means | Notes | | - | - | - | | **Item/Specification** | What is bought | Up to 500 characters | | **Qty** | How many | A whole number from 1 to 99,999. Nothing else can be typed | | **Gross Value** | The value before GST | More than zero, up to 99,999,999.99 | | **GST** | The GST on it | More than zero, up to 99,999,999.99 | | **Net Value** | The gross value plus the GST | Worked out | A **Total** row at the foot adds up the quantity, the gross value, the GST and the net value. The columns keep their width, so a quantity and a net value can always be read. | Button | When | What it does | | - | - | - | | **Save as Draft** | The note is not with its approvers | Saves the note and gives it its T\&C/No. | | **Save & Submit** | The same, for somebody who may send it | Saves the note and sends it for approval. If the send is refused, the note is still saved and the screen says why | | **Save** | The note is with its approvers, for the approver it waits on | Saves the note | Before a note can be sent or approved it needs **Category**, **BUSA**, **Item Type**, **Manager Name**, **Manager Location**, **EMP Code** and **Grade**, at least one item, and any other answer your organisation insists on in Form Studio. A note still missing any says **Before it can be sent it still needs:** and names them. ## Approving a note A note is approved in your organisation's T\&C appraisal note workflow, level by level, sent in the name of whoever sends it; a rejection at any level is final. Where no workflow applies, sending it approves it at once. The approver a note is waiting on opens it from **Approval Status**, or from [Approvals](https://docs.assetinfinity.ai/work/approvals.md). The approval dialog draws the note's form, items included, with **Save T\&C appraisal note** to save what you corrected. **Approve** waits until the note is saved and complete, and says **Before it can be approved it still needs:** with what is missing. Somebody reading a request they raised sees the same form greyed.
