# User activity

> How much each person created, changed and deleted, by module and by kind of record, and the changes behind every count.

The **User activity** screen counts what each person in your organisation created, changed and
deleted over a period, and lets you drill from a person to a module, from a module to a kind of
record, and from there to the changes themselves.

Open it from **Setup → User activity** in the navigation, beside [Audit](https://docs.assetinfinity.ai/setup/audit.md). You can also
reach one person's activity from the **Busiest people** panel on the Audit screen, with the chart
icon **What they did, by module**.

The counts come from the [audit trail](https://docs.assetinfinity.ai/setup/audit.md): every record a person created, changed or
deleted. Signing in is counted on its own and is not an action. Which screens somebody opened is not
recorded, so this screen cannot tell you that.

## Choosing the period

**From** and **to** set the period, and **7 days**, **30 days**, **90 days** and **12 months** set it in
one click. It starts at the last 30 days. The footer repeats the period being counted.

The period and the level you are looking at are part of the page's address, so the browser's
**Back** goes up one level, and you can bookmark a level or send it to a colleague who may open this
screen.

## The four levels

A trail of names above the table — **Everybody**, then the person, the module and the kind of record
— shows where you are. Click any of them to go back up. Click a row to go one level down.

| Level | One row per | Columns |
| - | - | - |
| **People** | Person in the organisation | **Person**, **Actions**, **Created**, **Changed**, **Deleted**, **Modules**, **Sign-ins**, **Last signed in**, **Last action** |
| **By module** | Module the person worked in, such as **Work orders**, **Assets** or **Purchasing** | **Module**, **Actions**, **Created**, **Changed**, **Deleted**, **Record types**, **Last action** |
| **By record type** | Kind of record in that module, such as a purchase order or a purchase order line | **Record type**, **Actions**, **Created**, **Changed**, **Deleted**, **Records**, **Last action** |
| **The changes** | Each time the person created, changed or deleted a record of that kind | **When**, **Action**, **What happened**, **Record**, **Fields changed**, **From** |

**Actions** is the total of **Created**, **Changed** and **Deleted**. On the record type level,
**Records** says how many different records those actions touched, because forty changes to one order
and forty orders changed once are different weeks.

### People

Everybody in the organisation is listed, including people who did nothing in the period. The stat
strip counts the **people** and how many **did nothing in this period**. A person whose account has
been removed is marked **Removed**, and one who is suspended or deactivated shows that status beside
their name.

**Find a person** narrows the list by name or email.

### One person

The stat strip shows the person's **actions** and **sign-ins** in the period. The modules are the
product's own areas, so the level below a module is the kind of record that was changed, not the
screen it was changed from.

### The changes

**Every action**, **Created**, **Changed** and **Deleted** narrow the list to one kind of action.

| Column | What it shows |
| - | - |
| **When** | The date and time. Hover it for how long ago. |
| **Action** | **Created**, **Changed** or **Deleted**. |
| **What happened** | A plain summary of the event. |
| **Record** | The record's number or name, such as a work order's number, linked to the record where it has a screen. A deleted record still shows its number, with nothing to open. |
| The parent record | Shown only where the records are lines of another record, such as a work order's tasks or an asset's meters. The column is headed with that kind of record, for example **Work order**, and names and links to the one each line belongs to. |
| **Fields changed** | **Compare 1 field** or **Compare \{n} fields** opens each changed field with its value before and after, as on the Audit screen. **Hide the changes** folds it again. |
| **From** | Where the change came from: web, mobile, api and so on. |

The list loads 100 changes at a time; **Show 100 more** loads the next, up to 1,000.

When a level has nothing to show, it says **Nothing in this period**, so an empty answer is not
mistaken for a list that failed to load.

## Exporting

**Export** downloads the level you are looking at as a CSV file, with the same columns as the table.
The changes level is exported one line per event, with the record's id and its **Number**, and the
parent record where there is one.

## Who can use this screen

| To | Permission (as the grid shows it) |
| - | - |
| Open the screen, drill down and export | **User Activity · admin** |

The menu entry appears only for people who hold it. Only the System Administrator holds it until you
grant it to another role: reading the whole audit trail and watching what one colleague did are
different decisions, so **Audit · view** does not open this screen. Somebody without the permission
who opens the address is told that what each person did is for an administrator to read.

See the [permission reference](https://docs.assetinfinity.ai/setup/roles.md#permission-reference).
