The T&C appraisal notes: the papers a manager’s IT purchase is appraised on before it is bought, a row per note, each with the items it buys in tnc_appraisal_note_items.
tc_no is the note’s T&C/No., given when it is added from the TC number series (TC-0000001 unless your organisation set another format) and never typed. category_master_id is the Category, a value of your organisation’s list named Category Master (see capex_category_master_values), beside its name. site_id and location_id are the BUSA: the unit the purchase is for, which the note is read under and its approval filed at, and the place inside it where the note names one. item_type is MIS or NON_MIS. manager_location_id is a value of your organisation’s list named Manager Location (see tnc_manager_locations). manager_name, emp_code and grade are typed, up to 100, 10 and 100 characters.
item_count is how many items the note buys, and gross_total, gst_total and net_total the sum of their gross values, their GST, and the two together, in the currency currency_id names, which is your organisation’s own.
The note is approved in a workflow of its own, sent with submit_tnc_appraisal_note once it is written; note_needs lists the columns it still needs before it can be sent or approved, and items where it buys nothing, empty when nothing. note_standing is where it stands in the words the screen uses: DRAFT while no request holds it, IN_APPROVAL while one does, APPROVED when the last level approves it (or at once when sent with no workflow to ask) and REJECTED when a level rejects it, which is final. note_status is the stored half of that, OPEN until the note is decided, with note_status_reason what the rejecting approver said. request_id and request_display_status are its approval request, the open one where there is one; last_approved_by_name and last_approved_at who last approved a level of it, and when. may_edit says whether you may change it now: while it is with its approvers only the approver it waits on may, and otherwise anybody holding finance.tnc_appraisal_note.edit, until it is decided. may_send says whether you may send it.
created_at, created_by_id and created_by_name say when the note was added and by whom; created_source says what added it where nobody signed in did. updated_at, updated_by_id and updated_by_name say when it was last changed and by whom. The last level’s approval is carried out in the name of the person who sent the note, so on an approved note it is last_approved_by_name, not updated_by_name, that says who approved it.
You see every note on the units you can read if you may view T&C appraisal notes. Without that, you see a note only while a step of its approval is waiting on you under your own authority.
